Job Opening: Program Assistant - Membership and Events

Build It Green is seeking a Program Assistant who will report directly to the Development Manager and will also assist the Development Associate. The Program Assistant will work primarily within the Development Department but will provide support to other departments within the organization.

Build It Green is a professional non-profit membership organization whose mission is to promote healthy, energy- and resource-efficient residential building practices in California. Supported by a solid foundation of outreach and education, Build It Green connects consumers and building professionals with the tools and technical expertise they need to build quality green buildings.

 

RESPONSIBILITIES AND DUTIES

The successful candidate will be expected to perform the following duties:

1. Handle daily membership approval process:

a. Review, approve, and invoice membership applications in a timely manner.
b. Effectively problem-solve, troubleshoot, and provide phone, e-mail, and web support to Build It Green’s 500+ members and all prospective members.
c. Track and perform reporting functions related to membership. Knowledge of CiviCRM or other customer relationship management software is a plus.
d. Work with Development Manager and Bookkeeper to track membership invoices, create and implement follow-up plan for delinquent invoices, design and implement membership renewal process, and administer member benefits and other associated services.

2. Provide logistical and administrative assistance for monthly and quarterly Council and Guild meetings, green home tours, presentations, fundraisers, building industry tradeshows— events which range in size from 20 to 20,000 participants. Perform event-related tasks which include:

a. Work with Program Managers and Development Associate to create and implement an event planning coordination system.
b. Provide support for meeting presenters: prepare meeting collateral, coordinate meeting logistics, including audio-visual set-up, catering, and venue selection and coordination.
c. Assist with the planning, preparation, and execution of Build It Green’s presence at major tabling events such as West Coast Green and other industry tradeshows, presentations, outreach events and activities.
d. Track RSVPs, attendance, and meeting evaluations; assist Development Manager with compiling post-event data for reporting purposes.

3. Track Build It Green media mentions in both electronic and print media. Research, request, and archive hard-copies of media coverage and compile annual media booklet. Post updated articles regularly on website.
4. Perform various administrative duties as requested, including: provide phone, web, and email support to members; coordinate and execute mail merges and mailings; perform data entry and data management; perform internet research; coordinate and execute email campaigns.
5. Assist fellow Build It Green staff on other programs as needed.

QUALIFICATIONS AND EXPERIENCE

 

1. Baccalaureate degree (or at least third-year standing) from an accredited college or university.
2. Friendly, outgoing temperament and an eagerness to serve Build It Green stakeholders and the public interest.
3. Self-sufficient office skills: ability to work with MS Word, MS Excel, MS PowerPoint, and Windows operating system. CiviCRM or other customer relationship management software experience preferred.
4. Proven organizational skills and attention to detail. Ability to work independently and take initiative is highly valued.
5. Excellent written and verbal communication skills.
6. Event coordination, customer service, and/or non-profit experience is desirable.
7. Proficiency in conducting research using web and traditional resources.
8. Flexible schedule and ability to travel locally—event responsibilities may involve some local travel and infrequent evening and weekend activities.
9. A proven commitment to addressing environmental issues and/or an appetite to learn about the rapidly evolving field of green building.
10. General familiarity with green building concepts and the ability to learn and articulate the environmental, health, and economic benefits of green building is desirable.
